Karlka Nyiyaparli Aboriginal Corporation RNTBC (KNAC) is the Native Title representative group for the Nyiyaparli People with approximately 400 current members. The Nyiyaparli People are the Traditional Owners of approximately 36,684 square kilometres of land and waters in the east Pilbara region, the Aboriginal communities of Jigalong and Parnpajinya, several pastoral leases and significant mining operations. Locations within the Determination Area are places of particular significance to the Nyiyaparli people, including ceremonial sites, songlines, permanent pools and natural resources.

KNAC places a high value on its people and is now seeking to engage an experienced Executive Assistant in this pivotal new role.

The role

Reporting directly to the Chief Executive Officer (CEO) this role is an opportunity to take on executive level responsibility, have input and create real value for the organisation. 

You will be the key point of contact for internal and external matters requiring the CEO’s attention, participation, approval, and input.  You will also facilitate CEO communications and acts as the Corporation Secretary and key contact for the Board and all Board-related matters. You will also:

  • Manage and coordinate the CEO’s calendar and commitments including meetings, travel arrangements, screen incoming telephone calls, correspondence, emails, visitors for the CEO 
  • Determine priority of matters of attention for the CEO and keep the CEO advised of time-sensitive and priority issues, ensuring appropriate follow up
  • Prepare correspondence, reports, and other documentation for the use and/or signature of the CEO
  • Organise meetings and functions as required; taking care of details including preparation and distribution of minutes and agendas, catering, venue, and other resources, as required
  • Provide secretariat services to key governance bodies including Boards and Advisory committees 
  • Supports the coordination and planning of the Annual General Meeting each year in collaboration with the Corporate Services Team
  • Schedule departmental meetings; assist in the preparation and distribution of meeting agendas and materials
  • Support CEO financial, reporting and accountability administration duties 

 

What you need to succeed

You will bring a strong focus and energy to your work and enjoy responsibility and taking accountability for outcomes.

You will need a demonstrated understanding of issues impacting Nyiyaparli people and a minimum of two years’ experience as an Executive Assistant or Executive Manager. You will also need:

  • Excellent time management skills with the ability to problem solve and be adaptable in a dynamic and fast paced operating environment
  • An ability to identify and balance priorities and work to tight deadlines
  • highly proficient written and verbal communication skills, including exceptional attention to detail
  • An ability to exercise discretion and sensitivity regarding confidential    issues.
  • Excellent record keeping and administrative skills, including Microsoft Office suite
  • Willingness to undertake training and development activities
  • Strong communication skills and ability to adapt and problem solve
  • Time management with strong planning and multitasking skills
  • Trustworthiness in operating effectively, efficiently and confidentially 
  • Driver’s licence (preferable)

This role may require some out of hour’s requirements and occasional travel within the region and State.
