About KNAC

Karlka Nyiyaparli Aboriginal Corporation (‘KNAC’) represents the Nyiyaparli people from the Pilbara region south of Marble Bar, in all matters concerning their native title claim and conducts negotiations and business dealings with all parties on behalf of the Nyiyaparli people. The Corporation was registered in 2001. The Corporation has agreements in place with mining companies for access to its lands – including with Rio Tinto Iron Ore, Fortescue Metals Group, BHP Billiton Iron Ore, and Roy Hill.

KNAC currently has offices in South Hedland and Newman and employs around 26 staff. It is governed by a Board of Directors and led by a Chief Executive Officer.

About the Role

We are seeking a talented Office Coordinator to join our vibrant team within our growing office.  The position is in South Hedland.

You will be contributing to a positive work environment through supporting the Corporate and operational functions as directed by the Community & Corporate Services Manager (direct line manager) by coordinating specific duties in the reception and member services (Mutual Trust and AET), fleet and facility, logistical and administration support for the AGM and other significant meetings (as required), travel and high level and confidential administrative support to the CSM.

Key responsibilities:

Staff Supervision

  • Coordinate Member Support Officers in day-to-day tasks, providing leadership, guidance, and direction as per their role definitions and to provide back up during leave etc.
  • Ensure direct reports complete timesheets and/or leave forms as required.
  • Ensure sufficient coverage of the reception desk during tea and meal breaks and team meetings and to meet business operating hours.
  • Other functional services and supports as required.


Trust Coordination

  • Coordinate the completion and submission of gift card applications from Nyiyaparli Trust Beneficiaries (including applications being completed accurately, date stamp, receipted, and emailed to trust for daily processing)
  • Provide additional member service support as required or directed.


Fleet and Facility

  • Coordinate annual schedule for KNAC housing assets checks, appraisals and reports as required.
  • Coordinate timely asset maintenance and repairs as required and as per checks and appraisals.
  • Coordinate annual fleet schedule for KNAC corporate vehicles, ensuring two services per year for road safety. Minimum of one service for other vehicles as per manufacturer guidelines.
  • Coordinate any additional repairs and maintenance as reported/requested and approved.


Administration

  • Coordinate cleaners and cleaning schedule, including the main rubbish bins are put out on Tuesday evenings for Wednesday collection. Ensure appropriate induction, access, and WHS.
  • Oversee stationery, kitchen and other supplies inventory and orders.
  • Oversee reception area remains clean, tidy, and safe from hazards.
  • Ensure any signage is relevant, appropriate, and current.
  • Coordinate schedule for all fire alarms, extinguishers are checked as required.


Human Resources Support

  • Support any low to moderate concerns received from members and stakeholders (including those requesting explanation of policy and procedure), concerns which could impact corporation reputation, staff reputation need to be raised directly with the Corporate Services Manager (CSM)
  • Support new staff to complete the new employee documentation.
  • Update confidential hard copies personnel files in CSM office as required.


Selection Criteria:  

  • Minimum of 5 years in a similar position
  • Completed or studying towards a tertiary education in Office Administration (desirable)
  • A very good understanding of working with indigenous communities or in a cross-cultural context.
  • Highly organized with strong time management and communications skills to manage competing and/or changing priorities.
  • Systems savvy and comfortable with technology, particularly experienced with MS Office (advanced), while able to adapt and be flexible with the changing needs of the organisation.
  • Sound written communication skills- able to draft correspondence, edit documents and write instructional information.
  • High attention to detail and accuracy
  • Driver’s License – C Class
