About KNAC

KNAC is the endorsed and authorised native title and heritage service provider for the Nyiyaparli people and is based in Port Hedland. Our Determination Area covers approximately 40,000 square kilometres of Nyiyaparli traditional country and encompasses the town of Newman, the Aboriginal communities of Jigalong and Parnpajinya, several pastoral leases and significant mining operations.

KNAC currently has offices in South Hedland and Newman and employs around 26 staff. It is governed by a Board of Directors and led by a Chief Executive Officer.

It is committed to the protection and management of Nyiyaparli Native Title and Heritage for the benefit of its people.

About the Role

We are seeking a talented Members Support Officer to join our vibrant team within our growing office to cover a Maternity Leave. The successful person will be to greet and assist members with trust applications and documentation requirements. Greet visitors to the office perform other clerical duties as required. This is an incredibly varied and dynamic role, where you will operate as a key player in the daily functions of the Corporation. The position is in South Hedland.

You will be contributing to positive work environment through being an advocate for the Corporation and the members, and by providing high level support and assistance to ensure the team operates smoothly.

Key responsibilities:

AET and Mutual Trust:

  • Assist members with (AET and Mutual) trust applications and documentation as required, ensuring all details are completed correctly.
  • Submit applications as per process to the relevant trust, AET or Mutual Trust
  • Release gift cards for collection to members or for collection, ensuring all documentation is signed for internal auditing and acquittal purposes.

Reception

  • Supporting day-to-day front office inquiries from Members and refer depending upon nature of enquiry.
  • Ensure guests have signed in and directly escort guests to specific areas/office to minimise disruption.
  • Inform other members or staff about visitors or cancellations and ensure meeting notices are placed on conference room or board room if meeting room is being used to avoid disruptions.
  • Overseeing the front office wall calendar & logistics


Office Support

  • Coordinate all boardroom bookings including catering, room set up/pack down as required.
  • Set up team meetings and take meeting notes for filing.
  • Assist with facilities and fleet requests as required including scheduling and reminder alerts to the appropriate teams.
  • Assist with internal and external meetings as required, including collection of catering.
  • Monitor and maintain staff in and out board.
  • Monitor and ensure all KNAC keys are secure, signed out and checked daily.
  • Other duties as required.

Selection Criteria:  

  • Proven work experience as a Receptionist, Front Office Representative for a minimum of 2 years
  • Initiative-taker and collaborator. Must be able to work both independently as well as in a collaborative environment to accomplish assigned tasks and goals.
  • Must be enthusiastic, respectful, and friendly; with a professional and welcoming presentation, and most importantly, possess a cheerful outlook and ability to take direction.
  • Administrative tasks with high diligence skills required along with strong keyboarding skills, attention to detail and accurate spelling.
  • Ability to multi-tasking, well organised and detail-orientated
